ACCOUNTING ASSISTANT
Supervised by: Finance Manager
Supervises: Office Systems Specialist
General Summary:
Under the direct supervision of the Finance Manager, this position is responsible for organizing, processing, recording financial transactions, and maintaining all of the books and records of the organization according to established accounting policies and procedures.
Essential Job Functions:
An employee in this position may be called upon to do any or all of the following essential functions. These examples do not include all of the duties, which the employee may be expected to perform. - Prepares and processes payroll utilizing computer software. Reviews timesheets and mileage reports for accuracy, generates paychecks and maintains payroll records including the management of computer generated leave accruals and balances that will be reported on paychecks or vouchers.
- Analyzes and processes court orders, including generating the amounts, and recording those in the payroll system. Additionally, this position is responsible for ensuring accuracy in deduction and distribution to the appropriate parties.
- Reconciles records, and prepares annual W-2 and 1099 forms for employees and contractors.
- Assists the Finance Manager with agency audits or program monitors. Collects information, responds to requests, meets with auditors or monitors and provides other support as necessary.
- Posts financial transactions to appropriate chart of accounts within the fund accounting system utilized by the organization for all types of transactions.
- Administers the accounts payable process. Reviews requests for accuracy by way of appropriate coding and vendor information. Prepares and disburses checks to vendors.
- Prepares and makes bank deposits, including accounting entries.
- Maintains physical property records for the agency. Tags equipment and conducts an annual physical inventory, then compares to the fixed asset register. This position is also responsible for reconciliation of the fixed asset register balances to the general ledger fixed asset balances, and making reconciliation entries when necessary.
- Administers the purchasing process within the confines of the procedures and policies laid out by the Executive Director. Orders, maintains and distributes from central office supply inventory, making record of same within the fund accounting system.
- Prepares monthly and quarterly financial reports. Performs research, compiles and analyzes data, and prepares special reports as requested.
- Assists others with financial and/or accounting related issues and provides training on accounting procedures. Responds to inquiries and requests for information and investigates problems.

- Keeps abreast of new accounting and financial management techniques and current issues through continuing educational and professional growth. Attends conferences, workshops, and meetings as appropriate.

- Completes special projects and performs other duties as assigned.

Educational requirements include a Bachelors degree in accounting
- Experience requirement is three or more years of full-charge accounting experience in a grant-funded environment.
- Considerable knowledge of professional accounting practices, procedures and techniques.
- Critical thinking skill in applying accounting systems and procedures, and in generating comprehensive and accurate reports.
- Skill in effectively communicating ideas and concepts orally and in writing.
- Skill in the use of computerized accounting systems and related software, such as Microsoft Word and Microsoft Excel
- Ability to establish effective working relationships, utilize good judgment in dealing with staff, and to exhibit, initiative and resourcefulness when dealing with others. This position requires an excellent “team player” mentality.
